Conference operations, from the AV booth to the speaker portal

On It Service started with live events. In 2016 we ran all the AV for the first CLOC conference in San Francisco, two days with heads of legal operations from companies like Yahoo, Cisco, NetApp, Google and Facebook. The work grew from there, and so did the event.

What we run for an event

  • AV and electrical planning, and the price negotiations that come with it.
  • Speaker management: the portal, deadlines, decks and final quality checks.
  • Session content for programs of 200 sessions or more.
  • Event schedules, mobile event apps and the registration platform setup.
  • Webinar coordination, recording and editing.
  • Sponsor AV support on the day.

After the event

The recordings are often worth more than the day itself. We edit session and speaker videos for members and sponsors, manage the content library, and set permissions so the right people see the right sessions. For CLOC we produced more than 180 speaker videos.

Questions about event and AV support

Do you plan the whole event or only the AV?

Either. Some clients bring us in for AV and speaker management only; others hand us the operations of the whole conference, from the schedule and the event app to sponsor support and the post-event video library.

Do you run webinars?

Yes. We coordinate speakers, run the session, record it and edit it for on-demand viewing, and we can manage a regular webinar series for members or customers.

Which event platforms do you work with?

We have worked with Cvent and CrowdCompass, and we work with the registration and event-app platforms our clients already use. If you are choosing one, we help you compare them on cost and on the work they save your team.
